The TechniSat Group develops and produces consumer electronics and information technology products in Germany and Europe. The foundation stone of the company was laid in 1987 by Peter Lepper at the Daun site in the Eifel region. Today, the headquarters and management of TechniSat Digital are located here GmbH.

In this interview, Lucas Landsberg, Head of IT System Administration at TechniSat Digital GmbH, and Dr. Matthias Bender, Head of the Competence Center Productivity & Applications at IT-HAUS GmbH , report on how they succeeded in updating Techniropa Holding's entire email environment during ongoing operations and mastering the balancing act between locally operated server infrastructures and Microsoft's cloud resources.

What exactly is your role in the company?

TechniSat's IT is divided into the system administration department and the application development and ERP support department. As Head of IT, I am responsible for system administration. Our IT department at the Daun site has a total of 30 employees. The reason for this is that we are the central IT department for all companies and employees of Techniropa Holding and provide our data centers nationwide and beyond the borders of Germany.

What was the motivation or trigger for you to update your Exchange environment?

We last operated Microsoft Exchange completely on-premise. Over time, however, our system gradually reached its limits. Server crashes and outages threatened - and this in a company where email is the main means of communication. It was clear to us that we needed to renew our e-mail infrastructure. The only question was how and in what constellation a migration would make the most sense for us. That's why we approached IT-HAUS .

Why IT-HAUS?

As a large company here in the region, we had known IT-HAUS for a very long time. We have also had several successful joint projects on various topics in the past. For example, we converted our printer concept with the help of IT-HAUS . All of these projects were implemented very professionally on the one hand and on a very partnership-based level on the other. Ultimately, however, several factors always play a role in the decision - including the financial aspect, which was also a good fit here. The impression that a provider makes on me and my team from a technical point of view also plays a decisive role for us when awarding a contract. We always felt that we were in good hands with IT-HAUS .

How did IT-HAUS go about this project?

We started with a kind of preliminary project in which we worked out possible scenarios and used them to create a detailed concept for the customer. concept for the customer. What situation did IT-HAUS encounter at TechniSat and what solution was sought?

The customer had an Exchange cluster with a total of five servers and an internal structure of various applications and scripts that had grown over the years and interacted with the email environment. The aim was to reduce the administration effort for IT and to migrate Microsoft Exchange Server to the latest version - which had to be done in two stages due to the complex technical circumstances. As part of the migration, we designed and implemented a system consisting of just two machines.

At this point, TechniSat deliberately decided against the cloud and in favor of a so-called hybrid position. Why?

The customer wanted to continue to operate its Exchange server in its own data center. Nevertheless, employees were to be given access to certain cloud services such as Microsoft Teams so that they could, for example, access their calendar data via Teams - even if this is located on the local Exchange server.

Our management attaches great importance to data storage in our own data center, also for data protection reasons. The challenge here is to strike a balance between data sovereignty and the use of the latest technologies, which are most likely to be found in the cloud. In addition, the majority of our meetings now take place virtually. That's why we wanted to integrate Microsoft Teams in particular even better.

What advantages does this have for end users?

You no longer have to switch back and forth between your Outlook and Teams client, which makes it much easier to find appointments and attend meetings. Whereas previously Teams meetings had to be organized quite laboriously via Outlook, the two systems now work hand in hand. The new infrastructure has also enabled us to improve our performance and increase reliability.

What role does mobile working play in your company?

We do not have a general home office policy. However, our sales department works predominantly on the move. Employees are equipped with a smartphone, notebook or tablet and access the relevant systems via a hotspot or integrated SIM card and VPN so that they can check their emails and calendars while on the move.

What security measures are in place for external access?

For additional protection against potential attacks, we use so-called reverse proxies. These receive all requests from outside, examine them and only then pass them on to the Exchange servers. A load balancer acts as a reverse proxy here, distributing the data traffic between the two servers. If one of them fails, all requests are forwarded to the other. To ensure that this distribution computer does not become a bottleneck and paralyze the entire environment in the event of a failure, we have also designed it redundantly. This means that there are two load balancers for all external requests and another two for all internal requests. This solution not only guarantees maximum reliability, but also allows even more targeted security measures than a shared environment thanks to the separation of internal and external systems.

What were the particular challenges in this project?

One challenge was to ensure that all existing applications would also work in the new environment, including an external archiving solution for the long-term storage of documents and emails as well as a third-party anti-spam solution, which - unlike the new email server - was located in a so-called demilitarized zone (DMZ).

Another challenge was connecting the customer's various locations and companies with regard to the Microsoft Active Directory: while the Exchange servers at the customer's main location serve as the central email server for all companies, the directory services and servers are organized decentrally. Nevertheless, the e-mail servers must be able to communicate and exchange data with them.

TechniSat also has a relatively differentiated IT system. This means that there are different contacts for different topics that had to be brought together. On the one hand, this was positive because we were able to coordinate things at a high technical level. But it also means that you always have to keep everyone involved in the project up to date. There was a project manager on both our side and the customer's side, who together formed the project steering committee and ensured constant communication with everyone involved in the project.

In what timeframe was IT-HAUS able to realize the project?

Thanks to the upstream project, we were able to estimate the workload very well and ultimately meet it exactly on time. We implemented the migration project itself within four weeks - and stayed within the planned budget.

How did you find working with IT-HAUS ?

We found the communication with IT-HAUS in particular to be excellent. Our technicians worked very closely together and kept in constant contact. When we had questions, they sometimes responded late at night and acted immediately, or the next morning at the latest.

And even if something did go wrong here and there: In view of the scope of the project, these were not significant problems for me or our management. After all, you have to bear in mind that we migrated the main communication system for the entire Techniropa Holding. This involved a lot of working time on the part of IT-HAUS and TechniSat, even at weekends.
