Project environment
Large organizations and companies with at least 250 desktop PCs have the option of concluding a so-called Enterprise Agreement (EA) with Microsoft. This streamlines and optimizes software management through company-wide standardization and licensing under a globally valid central contract. Online services and software licenses can be combined individually. Customers receive support for their Microsoft products and services for the entire contract period, which is usually three years. Once a year, however, a license comparison must be carried out between the installed base and the commercial inventory, as a result of which any growth - known as true-up - must be reported to Microsoft. In this way, the difference to the last reported inventory is calculated retrospectively for the previous contract year. The more complex the company is, the more extensive and difficult the analysis of all EA-relevant installed and used rights naturally becomes. All the more so with a high fluctuation rate and frequent replacement of end devices or new connections. The Maria Hilf hospital in Daun was also faced with this challenge and decided to call on the expertise of its long-standing system house partner IT-HAUS in the area of software asset management (SAM). As part of a SAM project, not only was an analysis of the existing infrastructure to be carried out, but the hospital's current IT strategy was also to be examined in order to identify possible optimization potential. At the time, the hospital had an extensive IT infrastructure based on proven Microsoft on-premise technologies such as Windows Server, Active Directory and Exchange Server. Around 240 users were working with a total of around 280 PCs and notebooks as well as 60 tablets. In the course of the COVID-19 crisis, the need for a modern audio and video conferencing solution increased, especially among employees in management positions. Although Microsoft Teams was already being used, it was only sporadically via free trial licenses that Microsoft had made available to its customers during the pandemic. These were in danger of expiring soon or being switched to paid use. It was also necessary to clarify how Microsoft Teams could be seamlessly integrated into the existing IT infrastructure, taking into account all the requirements of a hospital in terms of IT security and data protection.
Project success
First of all, IT-HAUS contacted Microsoft and requested a so-called "Workplace Modernization Assessment", which was mainly carried out via video conference with the customer. The aim of the assessment was to use a data-based analysis of the collaboration and communication environment to identify the opportunities for modern collaboration in the hospital based on Microsoft 365 - and Microsoft Teams in particular. The devices, platforms and applications used were used for this purpose and the various scenarios and processes in the company were considered. On this basis, it was then necessary to develop a concrete plan for the introduction of Microsoft Teams. The customer actually intends to introduce Microsoft 365 as a complete solution in the company, but only after the EA contract expires. In a joint workshop, functions and best practice recommendations for managing Microsoft Teams and Microsoft 365 via the respective Admin Centers were therefore presented and set up according to the customer's requirements. Topics such as the provision of Azure AD Connect for the synchronization of users and groups as well as data protection aspects were also discussed. The provision of an Exchange hybrid configuration was also agreed with the customer. This means that mailboxes can be migrated to Exchange Online at a later date, while employees can already benefit from the seamless integration of their personal emails and calendars into the cloud world of Microsoft 365. In order to provide the best possible support for the rollout, IT-HAUS is on hand to assist the customer and adapt the productive environment as required. This prompted the manufacturer to allow the customer to continue using Microsoft Teams at no extra cost. Furthermore, the true-up gave the hospital a transparent overview of its IT infrastructure and the software licenses in use and enabled it to minimize both legal and lifecycle-related security risks. The switch to cloud technologies not only relieves the customer's on-premise structure, but also offers decisive added value such as optimized user management with single sign-on, multi-factor authentication, secure device management and savings through per-user licensing. Specially trained and certified IT-HAUS employees also advise customers on all issues relating to the Hospital Future Act (KHZG). This allows companies in the healthcare sector that want to drive forward their digitalization to apply for corresponding funding from the federal and state governments.
