Management Summary
The healthcare provider B-A-D planned to replace more than 5,000 notebooks and desktop PCs in its nationwide branches. As the ideal partner with its own field service, IT-HAUS GmbH provided the customer with a complete rollout package, from logistical planning for new Lenovo devices to implementation and the remarketing of old devices. Today, B-A-D covers its demand for computers and accessories with the help of IT-HAUS, benefiting from lean processes, rapid deliveries and minimized downtimes, thus remaining capable of acting even in times of crisis. In order to fulfill its ecological responsibility, BAD GmbH has decided to reduce emissions during the rollout compared to standard production. By the end of the project, 2,500 tons of CO₂ will have been saved compared to conventional production.

Project environment
As part of a program to renew and improve its infrastructure and platform services, with a focus on the workplace, B-A-D invited tenders for the replacement of over 5,000 clients and 170 servers. Each employee was to receive a new computer in line with current market standards. In this way, the company wanted to create the technological prerequisites to meet future requirements and remain capable of acting in the long term. The company was looking for a suitable business partner for the procurement of project hardware with standardized services for a contract term of 60 months. This is where IT-HAUS scored points with its extensive know-how and wealth of experience from projects of a similar size as well as a consistent concept. In particular, the capacity to provide all services, including the return of old equipment, by its own staff and to manage the entire process centrally from Föhren convinced those responsible. IT-HAUS placed its offer together with the manufacturer Lenovo - a long-standing strategic partner in the workplace solutions sector.
Project success
Before delivery, both the 170 servers from the manufacturer HPE and all clients are first refueled and preconfigured in the IT-HAUS Staging Center and given a label (customer logo). An asset management tool developed specifically for the customer helps B-A-D to identify potential savings and, for example, to process warranty claims more easily. The relevant data is created and maintained throughout the entire contract period by IT-HAUS. The rollout of the prepared devices and associated peripherals was carried out by the IT-HAUS field service. Planning and coordination were carried out centrally from Föhren , in close coordination with the individual B-A-D health centers. In order to keep travel distances and logistical effort to a minimum, ten strategically located branches of IT-HAUS GmbH were designated as HUBs. The devices were delivered here ready for operation and made available for collection by the service technicians. In addition to the installation of the local server and the respective computers, including peripherals and cabling, the on-site rollout also included backing up user-related data on the old computers and restoring this data on the new device, as well as changing the SIM card and returning the old devices. To ensure the protection of sensitive customer data, the hardware that was no longer in use was moved to one of the company's own HUBs by IT-HAUS itself, where it was transferred to the remarketing process, including certified data erasure and remarketing. Within five months, around 5,150 clients were rolled out at 170 locations throughout Germany, including 4,400 Lenovo ThinkPad T15s for the occupational physicians, 600
Lenovo ThinkPad X13 YOGA for employees at the headquarters in Bonn and a further 150 Lenovo ThinkCentre M720qs for use in the reception area of the health centers. The delivery difficulties caused by COVID-19 proved to be a particular challenge. However, thanks to the maximum flexibility and commitment of everyone involved, it was possible to keep to the desired schedule. All clients are rental devices; monthly collective invoices also reduce the administrative burden. B-A-D also has the option of ordering additional Lenovo project hardware and accessories as required from IT-HAUS for the entire duration of the contract. An electronic link to the customer's purchasing platform was created for this purpose. In addition, IT-HAUS keeps a certain contingent of pre-installed devices in its own warehouse, thus minimizing delivery times and avoiding possible bottlenecks. The goods are only invoiced after delivery, so that the device pool does not have to be kept in the customer's fixed assets. This means that the warranty period only starts on the day of rollout. It was also agreed that IT-HAUS , as a certified Lenovo repair partner, would take care of the entire service process for B-A-D, from reporting the fault to installing the new device on site ready for operation. A defined SWAP pool is also used here to ensure fast recovery times: as soon as a ticket is received by IT-HAUS , a new device is sent to the respective location. A Field Service technician will replace the device on site the very next working day. As the devices are identical in design, the data is simply transferred by swapping the hard disk. This also has the advantage that the data does not leave the health center. Once the defective device has been successfully repaired, it is returned to the SWAP pool.
