Kreissparkasse Euskirchen is part of the Sparkassen-Finanzgruppe and therefore also belongs to its Haftungsverbund. A tailor-made complete package of hardware, software, rollout and individual services enables the 400 or so employees of Kreissparkasse Euskirchen to print securely and carefree. In addition to the procurement of consumables, the transparent and automated service concept of IT-HAUS GmbH also regulates the service and maintenance of the systems. This not only relieves the customer's IT administration, but also reduces operating costs for the entire fleet.

Project environment
Low interest rates, rising prices, increasing digitalization and changing customer behaviour are currently posing major challenges for the financial sector. In order to optimize processes, keep costs manageable and increase productivity within the company, banks in particular are turning to managed services. This involves outsourcing services such as printer infrastructure management to an external partner, which frees up considerable resources.
Kreissparkasse Euskirchen was looking for a more efficient management solution at the same time as modernizing its printer fleet and therefore turned to one of the specialists for Managed Print Services (MPS), Hewlett Packard (HP). Together with IT-HAUS as a certified HP Managed Print Partner, they set about developing a comprehensive concept for the customer. This included the introduction of a follow-me print solution, which requires users to authenticate themselves at the device before they can print their documents. After all, data protection and security play a particularly important role where several users share one device. What's more, these are usually confidential documents that need to be scanned, printed or copied. Furthermore, all multifunctional devices (MFPs) should be equipped with text recognition functionality (OCR) so that searchable PDFs can be generated during scanning.
The new equipment fleet comprises a total of 49 systems in five performance classes for different areas of application at 13 locations. In addition, there is another (existing) system that the customer wishes to continue operating and has therefore been included in the service structure. While the savings bank primarily uses A4 printers and MFPs at workstations or in small workgroups, the multifunctional devices in A3 format, which can easily handle high print volumes, are used as floor systems.
Project success
To make it easier for Kreissparkasse Euskirchen to set up the new devices, IT-HAUS first created configuration templates for fleet-wide configuration using HP Webjet Admin, a free printer management tool offered by the manufacturer. HP Webjet Admin ensures that the desired system and security settings are automatically rolled out to the systems as soon as they are in the customer's network. Thanks to the templates provided to the savings bank together with an asset list of all devices, serial numbers, type designations, locations etc., the installation effort for them is reduced to a minimum. This also applies in the event of a later device replacement, for example in the event of a defect.
The systems are mainly high-performance MFPs from the HP LaserJet Managed Flow series. Thanks to the pull-out keyboard, large color touch display and integrated OCR technology, they are particularly easy to operate and leave nothing to be desired in terms of functionality. The automatic document feeder (ADF) holds up to 150 (A4) or 300 (A3) sheets, scans front and back in one and removes blank pages. All models are also equipped with a duplex unit and modern security features and score points with advanced workflow and scanner functions at low operating costs.
The customer decided to purchase the devices and have the service covered by HP CarePack. In addition to the manufacturer's warranty, this includes a three-year on-site warranty, which helps Kreissparkasse Euskirchen to reduce downtime and ensure the continuous operation of its printer fleet. During the warranty period, IT-HAUS takes care of all services for the customer - from registering the CarePack to maintaining the desired service level and ensuring on-site functionality. As the service package is purchased together with the hardware, only usage-based printing costs are incurred - in contrast to conventional leasing models - which can be paid quickly and easily via a collective invoice.
Software
For the software, IT-HAUS deliberately chose two manufacturer-independent solutions. This means that - in addition to all workflows set up by the customer, for example for scanning - they can continue to be used the next time the fleet is replaced, which minimizes the administrative effort in the long term.
EESM concept, software from the manufacturer escido, is used for secure printing on the shared multifunctional devices. The GDPR-compliant follow-me-print solution only allows users to release their print jobs if they have authenticated themselves at the desired device using an RFID chip (employee ID card). To do this, they must first register their card once in the network. During the first authentication process, the Windows login details of the respective employee are also requested, allowing them to use any MFP in the company. This means that the documents are stored on the server until they are released on the selected device. This means that misprints and printouts that are left unattended in the printer tray are a thing of the past. Thanks to end-to-end encryption, both user, server and printer data are reliably protected; all applicable data protection regulations and guidelines are complied with. And it also makes work easier for the IT administrator at Kreissparkasse: instead of 50 printers, he now has one central print queue to deal with.
The printing environment is also monitored centrally using the FMAudit fleet monitoring tool installed at the customer's premises - a solution from the manufacturer ECI Software Solutions that records all relevant data from the existing systems. Daily meter readings are transmitted automatically, and an automated toner requirement notification is sent to IT-HAUS as soon as a defined threshold value is not reached. The software also uses an encrypted connection to automatically inform the customer of any faults so that IT-HAUS , as a service partner, can take quick and targeted action if necessary.
The data collected via FMAudit makes it easy to compare devices, settings and fault frequency. By using the software, Kreissparkasse Euskirchen creates an optimal basis for reducing the direct costs of procurement and operation in the company, identifying hidden costs and subsequently reducing them.
