In addition to replacing its printer fleet, commercial vehicle supplier JOST wanted a standardized printing concept for all its branches worldwide. In future, the entire Group will benefit from the Managed Print Services of the two strong partners IT-HAUS and HP. The central administration of the consolidated systems, including the supply of consumables, ensures greater transparency at significantly lower costs.

Project environment
Commercial vehicle supplier JOST employs more than 3,000 people in over 30 production and sales locations on all continents. In order to gain a better overview of its worldwide IT landscape and to manage it more efficiently, the group was aiming for global standardization. After this had been implemented in a first step for the computing area, the issue of printing was now also to be addressed. A complete service package was required which, in addition to supplying all branches worldwide with output systems, would also ensure their operation and maintenance as well as the supply of consumables as required. As the existing printer fleet in this country was already supplied by IT-HAUS and supported as part of a managed service contract, the company and HP were once again consulted as solution providers.
Project success
Together with HP, IT-HAUS has developed a concept for a standardized fleet consisting mainly of MFPs with the customer's preferred Pagewide technology. This is now also available for A3 systems and has print speeds of 60 pages per minute and more. Advanced workflow features such as OCR or double-sided scanning in one pass ensure fast and accurate capture, while the integrated Everypage technology helps to detect scanning errors and missing pages. In addition to all existing A4 color printers, some A3 systems were also replaced with high-performance A4 MFPs. Overall, this has resulted in a further consolidation of the shopping basket from four to three models. Customers benefit from optimized consumption costs and significantly better conditions by bundling their purchasing volume at a global level. In Germany alone, this means a further cost reduction of around 15 percent compared to the previous contract. The flexible concept provides for a gradual replacement of the existing output infrastructure. The systems will initially be rolled out in Germany, Hungary and Poland, then in other European countries and finally in all remaining branches worldwide. HPE Financial Services will act as the international leasing partner. Uniform global standards have also been defined for the service, which will be implemented locally by local HP partners - in Germany this is IT-HAUS GmbH . For this purpose, an individual agreement, a so-called HP Partner Managed Print Services (MPS) contract, is concluded in each country at country-specific conditions. In addition to supplying the national branches with hardware, this also regulates the supply of consumables and the provision of all service and maintenance services. This also includes monitoring and reporting: a fleet management tool is used to monitor the systems and trigger the automatic supply of print cartridges and toner as well as any necessary maintenance. The tool also helps to identify and eliminate recurring sources of error by regularly evaluating the key figures. HP and IT-HAUS also provided the customer with a service portal in the form of a password-protected website. This contains statistics on all on-site services, including the number of repair measures and maintenance assignments as well as requests for consumables. Within Germany, IT-HAUS also offers technical support in the form of a hotline. If a fault cannot be rectified by telephone, the system is repaired or restored by a service technician on site within the agreed response time ("next business day"). By always keeping its IT up to date, the company can plan its requirements better and adapt them flexibly, while the standardization of models and processes as well as "local to local" processing significantly reduce administrative costs. In countries such as India, which cannot be serviced by HP, IT-HAUS can establish individual MPS solutions in cooperation with the international partner network ACSL.
Software
The previous Kofax SafeCom authentication solution can continue to be used at all German locations with the existing licenses. The so-called "Follow-Me Printing" software was seamlessly integrated into the new concept and migrated to the new systems. The HP JetAdvantage Security Manager ensures the protection and data security of the fleet. The software implements compliance guidelines for printers and MFPs and is able to automatically create security audits. Devices that do not comply with the guidelines are identified and the security settings are automatically restored. Newly added devices are immediately integrated into the process. Automated monitoring saves time, reduces administration and protects devices in use around the world.
