Project environment

GNH most recently used around 1,200 printers at five locations, which were provided and maintained by IT-HAUS GmbH as part of a managed services contract. When this expired, a new service contract with a term of 60 months was put out to tender. Its scope of services included the provision and rental of workplace printers and central multifunctional devices, label printers, dot matrix printers and scanners, the number of which was optimized with the help of the FMAudit fleet monitoring tool used by GNH. In addition to new devices, used systems were also explicitly requested. Further components were once again the complete operation of the hardware including toner supply, the implementation of necessary relocations and the documentation of the end devices used at the individual locations. The customer attached particular importance to short response times in the event of malfunctions so as not to jeopardize the hospital's processes due to hardware failures.

Project success

GNH continues to rely on the manufacturer Kyocera, one of the leading suppliers in the healthcare sector. For many years, IT-HAUS has been a platinum Kyocera Service Partner, which not only means the best advice on the Kyocera product range, but also the highest level of expertise in terms of maintenance and repair of the devices on site. Once again, IT-HAUS is assuming responsibility for the smooth operation of the systems for GNH, which also includes a number of existing devices that have been transferred to the new contract. This has a term of five years - two years for the used systems - and regulates not only the supply of consumables to the customer but also the provision of corresponding services. The operation of the devices is billed based on consumption via a so-called click contract, i.e. in the form of a page price with no minimum volume. This includes all service costs such as consumables (toner), spare and wear parts, technician costs and the provision of fleet management software. Page-based billing and a low fixed price per page ensure transparent and manageable printing costs, while the hardware is billed via the lessor at the customer's request. The printing environment is managed centrally via the FMAudit software installed at the customer's premises - a manufacturer-independent solution that records all relevant data from the existing systems. Daily meter readings are transmitted automatically, and an automated toner requirement notification is sent to IT-HAUS as soon as a defined threshold value is not reached. The software also uses an encrypted connection to automatically inform you of any faults so that IT-HAUS , as a service partner, can take quick and targeted action if necessary. The service package also includes a central contact at IT-HAUS GmbH , who acts as an in-house technician at GNH's headquarters in Kassel. Among other things, he provides on-site support for around 1,000 printing systems by qualifying errors reported by customers and repairing or configuring the systems himself. For this purpose, IT-HAUS has rented premises on the hospital grounds, where a certain amount of consumables, spare parts and backup devices are kept in stock. The in-house technician is not only the customer's first point of contact when it comes to procuring new equipment, but also advises GNH IT on the IT-HAUS service portfolio.

Software

As the customer also wanted a solution for secure printing on the shared multifunction devices, MyQ X is now being used here. The so-called "pull printing" software only allows employees to release their print jobs if they have authenticated themselves using an ID card, PIN, a password or the MyQ X smartphone app. Documents are stored securely on the MyQ server until they are released on a device that the document owner can freely select. This means that printouts left unattended in the printer tray are a thing of the past. Thanks to end-to-end encryption, all data - be it user, server or printer data - is one hundred percent secure; all applicable data protection regulations and guidelines are complied with. If required, the number of documents printed, scanned and copied by users or devices can also be tracked. Thanks to the ability to generate accurate, highly detailed and automated reports, expenses are transparent at originator level and can help GNH management to further optimize its fleet.
