Printing costs more than halved: IT-HAUS supports financial institution in consolidating its HP fleet

Management Summary
A regional financial institution and long-standing customer of IT-HAUS GmbH wanted to modernize its output landscape and reduce costs at the same time. With the support of its long-standing partner IT-HAUS , the customer was able to significantly reduce its HP fleet and cut its printing costs by more than half. A customized complete package of hardware, software, rollout and individual services enables the approximately 800 employees in 37 offices and branches to print securely and carefree.
Project environment
Persistently low interest rates, increasing price and cost pressure, advancing digitalization and constantly changing customer behaviour have been major challenges for the financial sector for years. On the one hand, it is important to keep costs under control, but on the other hand, it is also important to invest in future topics and employer attractiveness. A regional credit institution has set itself the goal of maintaining its nationwide supply network in the local financial services sector with a combination of digital offerings and local branches and is therefore investing both in its locations and in the expansion of its digital infrastructure. It is supported in this by its long-standing IT partner, IT-HAUS GmbH . In order to free up capital, the company planned to significantly reduce its printer fleet - and therefore its operating costs - at the end of the leasing period. There was enormous potential here, as each customer advisor had previously used their own desktop printer. There were over 200 devices in the financial services provider's branches alone. In addition, there were more than 100 departmental MFPs as well as several central systems for print jobs in A3 format and a further 50 black and white devices for printing in the branches. In total, more than 450 output systems were available to the 800 employees at 37 locations. The new concept, which IT-HAUS developed together with the customer, provided for just one device per branch: a central, fully equipped A4 multifunctional system with comprehensive functionality, which can also handle high print volumes with ease. The number of devices was also to be significantly reduced in the main branches, where the customer is aiming for an open space concept. However, data protection and security play an even greater role wherever several users share a device. After all, these are generally confidential documents that need to be scanned, printed or copied. The customer therefore wanted a so-called Follow Me solution, which ensures that documents are only printed after secure authentication of the respective user on the device. Based on this list of requirements, IT-HAUS compared possible scenarios with various manufacturers for the customer and ultimately scored points with an attractively priced complete package comprising hardware, software and rollout.
Project success
A further step for the financial services provider towards the future is the expansion and associated comprehensive modernization of its head office. As the work was still ongoing at the start of the project, the rollout was initially to take place in the regional branches and only in the head office once they had reopened. For this reason, IT-HAUS reached an agreement with the lessor to replace the existing fleet at the end of the contract term and make it available to the customer as rental equipment at reduced rates on a transitional basis. While the employees affected by the conversion were able to continue using their existing printers as usual, IT-HAUS enabled the customer to achieve additional cost benefits by remarketing the hardware that was no longer required. A flexible concept was used for the rollout of the new devices, which was implemented according to a schedule individually tailored to the financial services provider. For example, IT-HAUS initially carried out all basic configurations and security settings as well as refueling the machines at Föhren and stored them there until they were called up by the customer. The rollout was accompanied by the rollback of the old machines, which were then recycled. A total of 52 MFPs from the HP LaserJet Managed Flow series were rolled out in this way, including 18 A3 color systems with retractable keyboard and 34 A4 black and white devices. Both models are equipped with a duplex unit and modern security features and score points with extended workflow and scanning functions at low operating costs. As a result, the bank was not only able to reduce the number of output devices to around one ninth, but also cut the costs of operating its fleet by around 58 percent. As an HP Platinum Partner, IT-HAUS continues to provide first and second level support as well as the automated supply of consumables. In order to also optimize the decentralized printing and scanning processes in its branches, the customer wanted future-proof Follow-Me software that could be linked to various banking applications. Instead of having a service provider collect and scan bank transfer forms, as was previously the case, all documents - including payment transaction receipts, archive documents and legitimizations - are to be captured on site at the MFP and automatically forwarded to the processing system (so-called branch scanning). A solution from exapture, an established software provider for savings banks and banks, is used. This ensures secure and confidential printing with so-called pull printing, in which the print job always follows the user. To do this, employees must first authenticate themselves at the MFP using an RFID transponder. Scanned documents are also automatically and securely identified, documented and transferred directly from the MFP to the existing IT structures via interfaces. A central application server coordinates all interactions and provides a flexible tool for managing the processes.
