Requirements and goals
Due to the steady growth of the workforce, various meeting rooms gradually had to make way for the space requirements. For this reason, a new concept for a representative conference room was sought, so that parts of the corridor on the upper floor were redesigned. The equipment and technical implementation also needed to have a professional appearance so that the technology, cabling and options met the growing requirements.
The challenge
Meeting rooms are generally available to all employees. These can be booked directly via the Outlook calendar or the room bookingngssystem Roomz and their utilization can be monitored. However, the level of knowledge regarding technical possibilities and presentation techniques varies greatly among employees. The technology should therefore be as user-friendly and self-explanatory as possible in order to save resources at the in-house IT service desk - in terms of further inquiries and technical support. Through the company-wide use of Microsoft Teams should also videoconferences can be held on the premises in order to save travel time, personnel and vehicle costs and to achieve the fastest possible ROI return on investment for the conversion project. The possibility of hybrid meetings is also created.
Solution
On the upper floor of our company headquarters in Föhren the first step was to install a large glass partition to separate the new rooms from the corridor. The room itself was to be designed for conferences for up to 12 people and professionally equipped in terms of comfort in order to maintain a high feel-good factor during meetings. Rolling armchairs with armrests and tables with integrated cable ducts and 220 V mains connections for charging were selected as the basic equipment. In order to dampen or eliminate the reverberation in the new rooms, sound insulation structures were integrated, which were also covered with regional image motifs on canvas to give the room additional character. A large-format touch display was chosen as the output device for presentations. This offers the advantage that the screen can be used not only for presentation purposes, but also as an interactive whiteboard to enable multi-touch collaboration. Handwritten notes, recordings and results can be easily saved using the supplied software and sent to participants as a PDF during joint meetings. To achieve even greater flexibility, the touch display has its own operating system and is connected to the cloud for data transfer.
The requirements for a suitable presentation system were manifold. In addition to stability and user-friendly handling, a low-maintenance solution had to be implemented.
The choice fell on the wireless Clickshare solution from the manufacturer Barco. Thanks to a simple USB-C connection, the control button can be easily connected to notebooks, which also enables an automated app connection. Via the Logitech Teams solution the content is integrated and displayed in the Teams app. It is also possible to present the content in a meeting. Especially in joint group work or presentations with up to two speakers, users can always access their own content individually. Clickshare also offers the advantage of compatibility with iOS and Android, which also allows the use of mobile devices. In order to drastically reduce the time and cost of meetings, a Logitech Rally solution with camera, soundbar and microphones, as well as a Logitech Tap as a control unit was realized. In addition, a Logitech Swytch to enable BYOD (Bring your own device) and not having to use the associated Meetingroom PC without having to use it. The connection to Microsoft Teams enables participants from different regions to join in via video and audio and take part in meetings. Thanks to the high-resolution 4K camera in the room sthe participants are clearly visible, the speakers enable a clean sound to understand external participants well and the microphones in the room transmit what is spoken in the room cleanly and clearly to the outside world. Meetings can be held interactively via microphones at the table and loudspeakers on the display, creating a face-to-face impression. Teams meetings can now be convened and booked via Outlook, and external participants can be invited via the room license so that they do not need their own Teams license license. In addition, other systems such as Zoom or Webex are supported in order to be able to invite different customers to conferences independently.
